The problem

It’s Friday afternoon, and you’re rebuilding the week from calendar entries and memory.

Every hour is booked to a work item or a customer.

An item belongs to a project and a project belongs to a customer, so picking the item is the only decision you make. There are two ways to get time in, one way it’s stored, and no way for a client to reach it.

01 · The timer

A timer held on the server.

The timer runs on the server, so a reload, a crash or a second device can’t lose it. There’s one per person, and the product enforces that: start another and the running one is saved as an entry while the new one begins, with six seconds to undo.

  • When idle, the timer offers to resume your last item by name, so the most common start needs no picker.
  • Stopping writes the entry straight away, so closing the sheet never loses the hour.

Or type it the way you say it.

For the call you didn’t time and the hour you forgot. The duration field understands whatever you write, because everyone writes it differently and nobody is wrong.

  • Book against a work item, or against the customer in general.
  • An entry over fourteen hours asks you to tick a box. It won’t refuse, because people do work strange days.

03 · Your week

Your week against target, in one grid.

Items by day, a cell to click for every gap, the billable share and how far you are from your weekly target. AgencyOS doesn’t create invoices: export an item’s time entries as CSV and bill from your accounting software.

  • Billable is pre-set from the project’s billing model, and internal projects start unticked.
  • Raw minutes are stored. Rounding happens only on screen, never on the record.

Never reaches a client

No role and no request ever returns a time entry to the client side, and no setting could change that.

Notes that stay yours

“Sandbox keys took 3 h — estimate higher next time.” Time notes record why something took as long as it did, and no client ever sees them.

Corrections

Everyone can correct their own entries. An owner can correct anyone’s, because somebody has to fix the week of a person who has left.

Freelancers see their own

A freelancer logs time on their projects and sees only what they logged themselves.

Hours on the item

Tracked time sits beside the quoted estimate and the internal estimate, so going over shows while there’s still time to act.

In UTC, on purpose

A Monday-morning entry files under Monday for every reader, wherever in the world they are.
